  1. Supporting the RBGM and TR CL Team
  • To directly support the RBGM and act as a shared resource for the team for all activities related to administration and coordination.

  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently.

  • Be responsible for calendar management for TR CL Team, requiring interaction with both internal and external stakeholders.

  • Assist RGBM in tracking progress, issues and deadlines of projects and take necessary steps to keep projects on course.

  • Schedule appointments and make travel and hotel arrangements for RGBM (and on occasion for other team members upon RGBM request or for group travel) and ensure that all travel agendas/trip files are accurately documented

  • Assist in T&E claims, maintain business contact file and key info files for RGBM

  • Requisition of stationery / business cards for the team

  • Maintain/update project and team personnel files for easy retrieval, and keep sensitive material in confidence (eg: annual leave / sick leave)

  • Assist various teams in the organization of regular and adhoc meetings, conferences and assignments, eg Sales Cycle Meeting, Tax Free Exhibition, Office and Team meetings, Breast Cancer Awareness Program, Consultant or other conferences upon request

  • Work closely with various departments [Human Resource, Administration office, Reception office, Finance and Information Technology Team] on new recruit or resigned staff to prepare all necessary set-up for the employee.

  • Orientate new members of the team (in Singapore) to system processes, administrative aspects wherever necessary

  • Assist RGBM in creating / modifying presentations as and when needed

2 . Administrative

  • Collate/consolidate reports: monthly Retail Sales report for the Asia/Pacific Region; quarterly and yearly retail sales reports for analysis; daily sales reports to TRD Clinique team; Quarterly Door Profile document update and distribution, and other reports when necessary, eg Beaute Research, various retailer sales & inventory reports, Generations.

  • Processing of DIFs (Destruction-in-field forms) and RAFs (Return Authorisation Forms) for APAC region.

  • Be the in-charge of the record management of the TR Clinique Team like organization chart, contact details, consultant records (headcount/service records/long service award – to work with Education Assistant on this)

  • Arrange event-related gifts/gatherings for TRD Clinique team such as birthdays and weddings

  • Responsible for purchase and storage of Clinique products and stationery for TRD Clinique team.

  • Maintain and update the Purchase Order file and submit a monthly summary report to Finance department.

  • Update when requested: monthly retail sales in the system, TRD Clinique APAC sharepoint reports, NY records.

  • Distribute incoming documents/mail for TRD Clinique team daily

3 . Marketing

  • Disseminating of samples, testers and collaterals to designated customers/vendors as requested

  • Maintain creative library / support inflight listing maintenance on various sharepoints and coordinate inflight listing material for Marketing team

  • Download / Print / Prepare monthly / quarterly ranking reports as and when required by RMM

  1. Store Design
  • Coordinate Project Request Forms, Quotations, Shipping Advice and Capital Expenditure Requisition between departments

  • Prepare and coordinate counter quotations and approval notices to/from retail partners

  • Maintain update status of counter projects, priority lists, installation timing (between SDVM Project Management and CL TR APAC teams)

  • Liaison with Finance on the expenditure of projects/payment/non-payment.

5 . Others

  • Attend to any other duties as and when directed by RBGM



1. Diploma in Business or related field or Business Certificate

2. 1-2 years of experience in related roles or Administrative roles.

3. Good communication skills and fluent in both written and oral English.

4. Good working knowledge of computer software (Excel, Word and Powerpoint).

5. Good coordination skills and able to work with minimal supervision ie. able to work independently.

6. Meticulous, diligent and fast in conducting daily duties.

7. Position is also open to fresh graduates
