Provide strong administrative support to 2 Vice Presidents, Procurement and additional support to the ED’s
Organize daily work flow for VPs. Manage Outlook calendars and handle all scheduling matters across the department, ensuring that critical timelines are met and monthly meeting cadences are completed.
Provide the needed administrative support to ensure effective and efficient meetings. Prepare informational material, and coordinate logistical aspects of meetings. This includes reserving conference rooms and working with Office Services for room-setups, audio-visual needs, security, transporting of materials, catering, etc.
Manage monthly and weekly reporting processes, synthesizing information appropriately across the Supply Chain Center of Excellence and the Global Supply Chain. Coordinate meetings, prepare agendas and presentation decks, and issue meeting notes.
Assist with department-wide projects and Supply Chain initiatives. Organize data analysis and reports, and create spreadsheets, presentations, etc. Handle independent projects and other duties as assigned.
Coordinate travel arrangements and detailed itineraries. Handle domestic and international travel requirements. Process monthly expense reports. Manage incoming bills and statements related to expense report processing.
Prepare and organize itineraries for incoming visitors. Provide temporary administrative support when needed to visiting executives. Receive external visitors and ensure they are properly escorted at all times.
Assist with new employee and/or consultant on-boarding and/or employee transfers into or out of the department. Coordinate with HR, IS, Security, and Office Services to ensure new or transferred employees are able to make an efficient start.
Handle incoming telephone calls and take action as required. Screen telephone calls when appropriate, route calls to right staff members, and proactively handle any routine matters.
Order office supplies and handle other office related procurement activities as needed. Manage any bills and invoices related to departmental procurement.
Position requires at least 3 years in a corporate environment providing administrative support at an executive or senior executive level and a bachelor’s degree.
The successful candidate should have an interest in career advancement and mobility within the Supply Chain organization or related areas. Previous experience in Supply Chain strongly preferred.
Strong administrative skills are required. Must be highly organized and detail-oriented, while also being able to grasp the “big picture”.
Excellent communication, writing, and organizational skills are required.
Strong computer skills are essential. Expertise on Outlook and the MS-Office product suite is a necessity, including Word, Excel, and Powerpoint. Familiarity with other desktop computer software such as Visio, MS-Access, and MS-Project are desirable. Capability to use and/or to learn enterprise software such as SAP along with business intelligence applications such as SAP-BW and Qlikview.
Proactive work style to anticipate potential problems and requirements. Capability to take independent action as appropriate using good judgment and discretion. Must have the ability to manage assignments and projects that involve multiple internal departments and to deal professionally with external contacts such as suppliers, consultants, etc.
A high degree of professionalism and a commitment to excellence are required.
Must be able to handle matters of a confidential nature with the utmost professionalism and discretion.
Familiarity with handling domestic and international travel arrangements is needed.
