Description

Position is responsible for the coordination and implementation of I&D programs globally in addition to assisting the Executive Director of Inclusion & Diversity with any necessary daily tasks.

Responsible for the Coordination of I&D Seminars:

-Booking conference rooms, setting up rooms with necessary materials, requesting IT assistance, ordering food and beverages as needed

  • Track attendance

-Book facilitators and send reminders

  • Posting seminars in online registration system

-Coordination of remote location seminars outside of NYC, ensuring that these employees receive seminar pre-work, and post seminar evaluations

-Send reminder to employees for registration

-Manage facilitator SharePoint Site

-Preliminary analysis of all seminar survey results

-Track metrics of global seminar rollout

Coordination of Employee Resource Groups:

  • Set up quarterly US and International ERG leadership meetings, book conference rooms and set up as needed

-Provide summary sheets to ERG leadership and ensure they are received and completed. Compile information and keep it up to date

-Keep up to date global leadership lists

Additional Tasks:

-Prepare materials as needed for new hire orientation

-Process expense reports

-Book travel for I&D meetings and diversity conferences

-Handle logistics for all diversity conferences including registration, shipment of materials and booth set up

-Help manage I&D intranet site

-Assist I&D team with all details related to annual I&D week

-Assist I&D team with logistics related to I&D award, specifically managing the application process

-Assist Executive Director with all I&D related PowerPoint

-Process no-charge orders as needed for the department

-Manage calendar for the Executive Director

-Additional administrative duties include: prioritizing mail, ordering office supplies, file management, and answering and screening incoming calls.

Qualifications

1-2 years experience in a corporate setting

Excellent verbal and written communication skills with the ability to draft correspondence

Ability to handle confidential materials

Meeting planning experience

Power Point and Excel expert

Strong interpersonal and collaborative skills

Required Language Proficiency: English (bi-lingual is a plus)
