The ideal candidate will be well versed in managing a portfolio of programs for in an in-house brand, with knowledge of both consumer and product marketing. The Creative Operations Manager, acts as the scoping lead for our creative department’s portfolio of projects, partnering with project managers to see the big picture and assist in coordinating their efforts to ensure the entire program is delivered on schedule. In this role, the Creative Operations Manager insures that the department has:

  • The big picture of where all projects are at all times

  • Long range forecasting

  • A proper department briefing, scoping and project intake process

  • Coordinated management of resources, freelancers and staffing

  • Coordinated creative department efforts

  • A process for completing agency RFPs, scoping and vendor costing


  1. Planning
  • Develop the overall creative department master program / portfolio budgets, work plans and timetable with the project managers

  • Collaborates with the marketing team on preparation of project initiation, scoping and budgeting and initiation

  • Determines project risk on an ongoing basis, escalates issues as needed

  • Assists the project manager(s) in overflow situations

  • Monitors out of scope requests, initiates additional estimates and approvals

  • Provides 360° view of department resources and scheduling coordination

  1. Coordinating
  • Provides leadership within the department and monitors individual projects at the program level against all variables

  • Maintains communications with appropriate corporate and marketing personnel to ensure positive workflow. Escalating exceptions and issues to Director level as required

  • Keeping master project status tracker up to date

  • Monitoring and enforcing project constraints (schedule / scope / resources)

  1. Program Management
  • Manage the portfolio of projects at the overall calendar / NPL level

  • Works with project managers to determine best simultaneous asset creation, or concurrent work processes (manage cross-project dependencies)

  • Provide and maintain program status

  • Leads all appropriate weekly project team meeting and resource meeting

  • Attend and contribute to weekly Creative Operations meeting and Creative Department meeting

  • Attend bi-weekly marketing meetings, and / or assigned department related status meetings

  • Identifies risk and opportunities across multiple projects within the department

  1. Financial & Administrative
  • Monitor all internal and external costs for assigned programs

  • Reviews WIPs and final billing reports

  • Monitor comprehensive program budgets / estimates to the appropriate area for approval prior to proceeding with project; monitoring costs to insure they are within the overall budget plan



  • Bachelors Degree in Marketing, Advertising, Digital or Broadcast production

  • Minimum of 5 years experience in program management for an in-house creative team

  • Experience in Integrated marketing preferred

  • Well versed in executing a portfolio of campaigns across multiple platforms

  • Great program management abilities

  • Self motivated and willing to expand knowledge

  • Experience working with teams to develop and negotiate project scopes and budgets

  • Ability to self-manage while managing assigned teams and projects under tight deadlines

  • Proficiency in Microsoft Office is required

  • Excellent interpersonal and communication skills and the ability to work with colleagues at various levels
