Job Summary

Provide Administrative support to the Global General Manager, Men’s Skincare Group

Responsibilities

  • Provide full administrative support for the Global General Manager. This includes:

o Managing outlook calendar (discerning scheduling priorities)

o Organize daily flow of GM

o Coordinate complex travel arrangements

o Organize files

o Provide the needed administrative support to ensure effective and efficient meetings. Prepare agendas, lunches and issue meeting minutes when required. Gather and organize meeting materials in advance. Reserve conference rooms and work with Office Services for room-setups, audio-visual needs, security, transportation of materials, catering, etc

o Prepare and organize itineraries for incoming visitors. Greet external visitors and provide appropriate guidance as needed

o Process monthly expense reports. Manage incoming bills and statements related to expense report processing

o Manage incoming telephone calls and take action as required. Screen all calls and proactively handle any routine matters

  • Provide limited administrative support to other 3 executives of the team.

o Expense reports

o Travel arrangements

o Calendarization of complex meetings

o Preparation of documents for major meetings

  • In coordination with another Administrative Assistant of the group, ensure office management tasks are complete: Managing conference rooms, organizing employee appreciation events, order office supplies, organize office wide meetings.

  • Work with finance team to process vendor invoices.

Qualifications

Qualifications

  • Position requires 3 years in a corporate environment providing administrative support to senior level executives.

  • Ideal candidate will demonstrate a passion and understanding for fashion

  • Display professionalism, diplomacy and discretion when handling matters of a confidential nature.

  • Need to be flexible with a great capacity of adaptation

  • Be able to cope to fast paced environment, work well under pressure

  • Exhibit exceptional communication, writing and organizational skills.

  • Must be highly organized and detail-oriented, while also being able to grasp the “big picture”.

  • Proactive work style to anticipate potential problems and requirements. Capability to take independent action as appropriate using good judgment and discretion.

  • Strong computer skills are essential. Expertise on Outlook and the MS-Office product suite is a necessity, including Word, Excel and PowerPoint

  • High level of skill in creating presentations

  • A high degree of professionalism and a commitment to excellence are required.

  • A team oriented individual who works effectively at all levels, and remains calm under pressure, thereby being a role model for others.

  • Superior follow-up and follow-through skills

  • Comfortable dealing with all levels of employees and external contacts.

  • Capable of handling heavy work volume.
