Principal Objective:

The Education Associate position (along with the Executive Director) is responsible for planning, scheduling and executing the following Global and North America Education Meetings:

  • Stars to New York Program

  • Global and NA Education Department Meetings

  • RER Meeting

  • International Leading Clinique Program

  • New Hire Orientation

In addition, the Associate is responsible for the fulfillment of Field Equipment Technology, monthly Field Air and T&E management and act as the department back up for SAP invoicing.

ACCOUNTABILITIES:

MEETINGS

The Education Services Team coordinates several meetings yearly. The Associate will be directly involved in and act as “Project Manager” for all meetings, including; sourcing information, arranging necessary contracts, overnight sleeping rooms, meeting space, food &beverage, gifts, creating tools and helping to coordinate a “Simply Amazing Experience” for all attendees and presenters. The Associate is directly responsible for the budget management of all meetings. These meetings include:

  • Stars To New York Program

  • Global and NA Education Department Meetings

  • RER Meeting

  • International Leading Clinique Program

  • New Hire Orientation

STARS TO NEW YORK

  • Create and organize all details and aspects of this 4-day program to make it a “Simply Amazing Experience” for each participating Star.

  • Details--create agenda, Showroom participation, Executive Panel (if needed), select hotel, restaurants, Broadway show (or different evening activity), organize Plant/R&D trip, select gifts, welcome bag, VIP dinner, band, activity day, dinner cruise and transportation.

  • Track and maintain budget to ensure we come in on budget.

GLOBAL & NA EDUCATION DEPARTMENT MEETINGS

  • North America--Two meetings annually.

  • Global – Four meetings annually.

  • Responsibilities--All hotel related items including: room block, food & beverage, audio/visual, off-site functions, transportation, travel manifests, welcome bags, gifts, shipping and international customs invoice shipping.

  • Prepare, track and maintain budget to ensure all meetings end on budget.

INTERNATIONAL LEADING CLINIQUE MEETINGS

  • Annual New York based meeting.

  • Responsibilities--All hotel related items including: room block, food & beverage, audio/visual, off-site functions, transportation, travel manifests, welcome bags, gifts.

  • Prepare, track and maintain budget to ensure we come in on budget.

NEW HIRE ORIENTATION MEETING

  • Assist Global Education Development Team in setting up all aspects of New Hire Orientation Meeting based in the New York Office.

EQUIPMENT REFURBISHMENT

Associate is in charge of managing both the NYO and all Field user’s technology and equipment. Assistant Manager works with SAP and IT Procurement team to order any new computer, printer, scanner, or software system needed by the NYO member or team member. Associate is in charge of getting product installed and set up at the designated location for the NYO or Field member. Associate is also in charge of completing a PO for any new product or replacement service, prior to delivery of service.

FIELD AIR AND T&E MANAGEMENT & SAP

Record and track monthly Field Air and T&E VA reports into Budget spreadsheet. Act as employee backup for department in processing SAP invoices.

Qualifications

QUALIFICIATIONS:

  • Position requires 3 years administrative experience in a corporate environment.

  • College degree or administrative equivalent.

  • Superior organizational skills.

  • Ability to work autonomously, self-start projects, anticipates the needs of the department meetings, and maintains a team player attitude.

  • Excellent communication and interpersonal skills.

  • Proficient computer skills in Microsoft Outlook and Word.

  • Excellent computer skills in Microsoft Excel and PowerPoint.

  • Must have ability to handle multiple projects and tasks with critical and accelerated time frames adapting to changing priorities.
