Position Summary: Provide administrative assistance to the VP Global Product Development in a confidential and professional manner. Support Aveda product development team projects & priorities. Contact with key management, Aveda Product Development Team, Corporate Innovation groups, R&D, President, Global Marketing and outside vendors & clients.

Job Description:

  1. Facilitate communication through daily mail analysis, re-distribution of facsimiles and other electronic communications

  2. Facilitate and keep in good order communications between the Aveda Product Development Team, Global Marketing and cross functional team members including R&D, Packaging, GSR, Corporate Innovation

  3. Coordinate all travel for the VP Global Product Development and PD team with travel agency in accordance with personal preferences and Estee Lauder travel compliance

  4. Prepare and submit expense reports for VP and as needed provide PD team with support as well

  5. Be involved with various AVEDA projects as assigned (competitive reviews, competitive product shopping, new launch alerts, maintain product closest, support product profile process)

  6. Maintain filing and records management systems and other office flow procedures (including editing/storing classified data for retrieval and reference, storing corporate management records, etc.)

  7. Research and abstract information and supporting data in preparation for meetings, work projects and reports

  8. Compose business correspondence

  9. Schedule appointments and maintain calendars

  10. Handle incoming calls and re-direct as necessary

  11. Interface and coordinate activities with President, Product Development team, clients, key management staff and general team members

  12. Ongoing liaison & interaction with global partners

  13. Support organization of innovation fairs, vendor fairs, consultant meetings as needed

  14. Invoice processing, to include budget compliance and monthly maintenance of cost center budget reconciliation

  15. Perform other duties as needed/assigned

Qualifications

Minimum Education Level: Bachelor degree, 2 - 4 years college, or Professional Secretarial program or certificate

Minimum Years of Experience: 4 years related experience

Strong organizational & interpersonal skills. Excellent collaboration skills, takes initiative and strong multi-tasker. Excellent written and oral communications. Must be proficient in Windows, Word, Excel, Access, Powerpoint, Outlook.
