Position Summary

Provide supports to Education Director and Product Marketing Director and ensure the smooth running of the education and product department in regional office. The ideal candidate will have previous experience in office administration/education/marketing and will be able to work in a fast-paced, constantly changing environment. The ability to interact with employee at all levels, remaining flexible, proactive, resourceful, and efficient is critical.

Job Description

  • Work on assigned projects (Sephora, ELX) through planning, implementation and execution to support market needs in order to immerse oneself in Education strategies.

  • Work closely with team to obtain and gather relevant business information, collate and consolidate as directed.

  • Assist in the preparation of presentation and documentation; tabulate and summarize raw data into charts, graphs and/or reports.

  • Work closely with procurement, affiliate markets, and regional office in organizing / preparing training workshops and Beauty Advisors’ uniform, accessories and tools.

  • Plan, organize and manage department’s calendar, team members’ business meetings and travel arrangements; provide monthly update to regional master calendar.

  • Arranging all business trips include hotel, flight and meeting schedule, etc.

  • Budget consolidation for regional education team.

  • Coordinate T&E and miscellaneous expenses for processing and reimbursements.

  • Maintain and update filing system and department library for safe-keeping and easy retrieval of information.

  • Create shopping carts for office needs and as point person for SAP access.

  • Coordination of product shooting arrangement with different functions.

  • Manage and support miscellaneous and ad hoc matters as assigned.

Qualifications

  • Tertiary education

  • Minimum 5 years of relevant working experience

  • Fluent in English is a must

  • Excellent interpersonal skills with ability to communicate effectively with all levels of personnel

  • Strong administrative skills, well organized, capable to prioritize a work and follows-up proactively

  • Computer savvy – MS Word, Excel and Power Point as minimum requirements

  • Service oriented and enjoys working with people

  • Meticulous and thorough – attention to details

  • Highly adaptable person and a team player

  • Capable to work in a matrix organization with dual reporting

  • Energetic and good learning attitude
