The primary focus of this position is to provide backbone administrative support to the Vice President of Global Consumer Marketing & Engagement and the Vice President of Product & Lifestyle Marketing in day to day activities and projects, as well as providing general administrative support to their teams. The position will be a key contributor in maximizing communication and solid working relationships between the marketing team and all other departments within Jo Malone London and the Regions to enhance and further support cross functionality throughout the brand.
General Administration and VPS Support
Act as a general point of contact and gate keeper for the VP’s within the corporation.
Organise and prioritise work flow for the VP’s to ensure efficient and timely completion of assignments & deadlines.
Assist in the project management and timely completion of internal presentations, fragrance platforms and other assignments delegated by the VP’s.
Participate in Marketing team calls and other meetings as directed by the VP’s
Stay up to date and privy to the Marketing Launch calendars, timelines and all internal projects the Marketing Department is involved with.
Manage weekly/monthly expense reports for the VP’s
Oversee a high traffic email Inbox, subsequently filing emails into relevant folders, answering and redirecting where possible.
Routine filing, printing, photocopying, and sending emails on VPS behalf.
Schedule and maintain a high volume of calendar meetings including but not limited to regular Marketing team status calls, conference calls and meetings with various teams internationally during periods of business travel.
Continually review calendar to maximise efficiency
Book travel arrangements and create detailed itineraries, compiling all necessary travel documents for the VP’s as well as for any relevant guests to the brand.
Continually review travel calendar and forward plan as far as is possible
Basic financial management
Produce agenda and minutes of regular department meetings
Collate relevant information for documents and reports
Compile, proof-read and send correspondence on EDS / Directors behalf
Prepare, manage and format communication and correspondence for the Department
Proof-read documents to ensure accuracy of content and presentation
Answer or re-direct phone calls, emails and enquiries as point person for the department/take messages
Assist with the organization and implementation of special events
Manage all financial administration such as raising of POs for 3rd party agencies
Coordinating marketing events for internal and external stakeholders liaising with vendors, hotels, delegates etc
Building and visualizing marketing presentations in PowerPoint
Co- ordinate the ordering and delivery of all Forecast samples for Marketing and other internal sample requests for Roundtables, Retailer meetings and Stylist of the Year events.
Ordering ‘First Production’ pieces of all new products for Departmental review and routing to relevant team members prior to storing.
Assist with competitive shopping and maintenance of the competitive item storage bins in collaboration with Marketing.
Assist with other projects as needed
Bachelors degree preferred
2 years’ experience supporting a VP’s/Senior Management
Ability to manage up
Ability to work with a variety of people/personalities in various disciplines
Superior organizational skills and attention to detail
Ability to work in a very fast paced environment
Knowledge of fashion/beauty industry preferred
Proficient knowledge of computer programs including, Microsoft Office, Excel and above all, PowerPoint
