The primary responsibility of the Facilities Coordinator is to support the GLAMGLOW operations on a daily basis and to ensure that facilities related issues are addressed in a timely manner.


  • Respond to office maintenance requests as needed in order to maintain a safe and functional working environment.

  • Relocate and shift office furniture as directed to support the business, or arrange vendors when necessary.

  • Perform light carpentry tasks that include but not limited to: installing/removing wall mounted items, assembling furniture purchased through office supply vendors, office repairs, etc.

  • Manage all on-site parking.

  • In partnership with Housekeeper, coordinate and maintain the ordering and replenishment of house supplies and food/snacks.

  • Manage the maintenance of garden with vendor partners.

  • Provide conference room maintenance and audio visual support while ensuring that the equipment is operable and ready for daily use.

  • Perform other tasks as directed by senior management which will include restroom repairs where doable and ensure that maintenance supplies are readily available.

  • Ensure that all tasks are completed in a timely manner and follow up with Management.

  • Provide feedback on issues that require outside vendor support such as: plumbing and electrical.

  • Manage maintenance contracts with vendors and ensure timely payment for work orders.

  • Assist with office relocation projects.

  • Assist with all facility related needs for large meetings.

  • Works closely business to ensure that HVAC equipment is properly maintained.

  • Conduct routine office inspections/walk-throughs and take corrective action as needed.

  • Work closely with corporate Office Services team in NY to ensure pertinent information is cascaded and necessary programs adopted at the local level.

  • Coordinate daily mail services and deliveries with appropriate partners and vendors (i.e. Action Messenger service).


  • Minimum of 0-2 years’ experience in a Corporate Office Services environment desirable.

  • Must be able to work in a fast paced environment and handle multiple tasks.

  • Excellent communication skills required as is attention to detail.

  • Good attendance and punctuality are necessary.

  • High School Diploma Required

  • Position requires positive outlook and high energy level for fast paced, stressful working environment. In addition to being resourceful and having excellent interpersonal skills, must be able to work independently or as a team.

  • This position requires adaptability and flexibility with time.

  • Basic computer experience required.
