Description

Provide Administrator support to the Repair and Maintenance team confirming that daily operations run smoothly. Ensure Facility Management Sites are maintained and current at all times.

  • Review all invoices within the Big Sky sites for Aveda, Origins, Cosmetic Company Stores, Jo Malone/Bobbi Brown. Ensure invoice amounts are accurate and proper documentation is attached.

  • Review all active work orders within all systems daily to ensure all items are being addressed in a timely manner.

  • Contact store personal to confirm satisfactory completion of work once we receive notification of completion from the contractor.

  • Update status of work orders once verification has been received.

  • Monitor all preventive maintenance work orders while partnering with the contractors on setting completion schedules.

  • Manage store cleaning vendor for all brands ensuring preventive maintenance cleaning are completed to brand expectations.

  • Resolve vendor payment issues by working with the Vendors, Store Operations and Estee Lauder Corporate Accounts Payable Department.

  • Run customized reports within the Repair and Maintenance Management System as needed.

  • Maintain the central database for photos and drawings; ensuring information is current by attaching any renovation photos.

  • Review the CSPD Construction Report on a weekly basis, confirming all warranty locations have been added to the Big Sky system and all necessary documents have been attached.

  • Work closely with the Construction Team on Warranty hand-over process.

  • Provide back-up support for other team members as needed.

  • Provide scheduled on-call service for after-hours.

Qualifications

  • Bachelors Degree Required

  • 2 years of experience

  • Attention to detail and the ability to work independently.

  • Must be able to change focus when needed while making regular progress on assigned projects.

  • Must have excellent customer services skills and the ability to work with numerous personalities.

  • Strong communication and interpersonal skills required.
