This role will primarily focus on supporting Executive Compensation and Equity-Based Compensation. Under direction, this professional will be responsible for benchmarking data for all executive compensation programs and equity-based compensation, and assist in developing recommendations for review with the Manager and ED, Executive Compensation & Equity Programs, HR Connect Rewards/Equity vendor data management, monthly reconciliation, maintaining control tables and reporting of executive compensation and equity compensation programs using various systems. This role requires effective interfacing with key business partners in employee services, HR Ops, payroll, accounting, tax, financial reporting, human resources, and legal. This professional will have the opportunity to gain meaningful exposure to our business and grow as an integral member of the total rewards/operations team.
Total Rewards cross-functional project participation
15% Coordinate and reconcile data updates/corrections including file uploads to HR Connect Rewards, payroll, compensation planning and external equity systems. Provides interpretation of procedures as they relate to data procedures and recommends solutions to problems or issues not covered by established practices.
15% Perform database maintenance and audits to ensure data integrity across various systems (Oracle HRCR, Compensation Planning (HR Rewards and equity vendor) for incentive and equity plans. Analyze for accuracy/completeness, identify any issues/discrepancies, and create work flow processes. Perform HRCR testing for equity and executive compensation system enhancements.
20% Reconcile equity plan activity by analyzing reports from the Equity vendor’s system and reconciling to our payroll system. Ability to problem solve and to research any discrepancies and follow through to resolve any issues with the appropriate team members. Prepare weekly/monthly reports to Accounting, Payroll, and Tax functions as necessary. Assist with tax withholding and release of vested restricted stock units for domestic and international employees
15% Working closely with the Manager and ED, Executive Compensation, legal and finance, assist in the annual preparation of the Compensation Discussion and Analysis (CD&A) and the Summary Compensation Table and associated other tables as part of the annual proxy statement. Also includes assisting in the data collection process for CEO pay ratio. This includes collecting, maintaining, and analyzing global pay data
15% Working closely with the Manager and ED, Executive Compensation and the Committee’s external advisor, compile and assist in preparing materials for the Compensation Committee of the Board of directors.
Communicate with equity grantees regarding inquiries, problem resolution and various notifications. This includes:
Phone and mail contact with grantees satisfying queries.
Equity Compensation Termination closure letters
Last minute follow-up for grantees whose grants are expiring
20% Participate and support Total Rewards initiatives to improve “how we work together”, provide Total Rewards value adds to the business and TR employee development. Assist in the development and implementation of ad hoc projects and reports within Total Rewards as directed.
Ability to work independently as well as in a team environment, and establish relationships.
Strong proficiency in Excel (vlookup/index and match and macros), PowerPoint (graphs and charts)
Strong ability to learn and utilize different systems and programs
Strict attention to detail while dealing with large amounts of data, and confidentiality required. The ability to work independently and change focus when needed while making regular progress on assigned projects.
Ability to work overtime particularly during annual cycles.
Ability to problem solve during month reconciliation between Equity vendor and accounting.
