Executive Director, Design Project Management Organization oversees activities within the Global Project Management Office for Creative Operations. This position works with other senior and executive level management to ensure that all creative activities are aligned to business strategies and priorities.

This role will be responsible for pushing the envelope with new processes, techniques and technologies while also driving a cycle of continuous improvement within existing DPMO teams and processes. Further, this position will setup and drive the global framework for design activities and toolsets in all Clinique offices worldwide.

RESPONSIBLITIES

  • Develop and implement processes/initiatives for DPMO to increase efficiency and quality of project execution (product and department projects)

  • Collaborate cross-functionally to identify process improvement opportunities and seek ways to optimize efficiency and effectiveness

  • Facilitate inter and intra-team meetings to ensure decisions are reached, risks are addressed and stakeholders are appropriately engaged and informed to move work forward against deadlines and budgets.

  • General liaison to executive leadership, project leadership in DPMO, Finance and Creative Operations as needed

  • Work to install methodologies designed to enhance team effectiveness

  • Coordinate the overall development, compilation, and monitoring of DPMO goals

  • Review and monitor team dashboards and report on day to day operational status to Brand President and managers

  • Lead department meetings to ensure relevant subject matter is shared and time is optimized

  • Create a network with all global project management functions not currently part of DPMO

  • Review and ensure alignment of all project timelines within the DPMO globally

  • Lead and drive change management efforts for the department, brand and Company

  • Generate and maintain integrated (cross-functional) business plan with associated goals, risks and risk mitigation plans to meet Clinique strategic objectives

  • Coordinate yearly project lists and priorities

Project Management Tools

  • Support the corporate-wide roll out of project management tools and capabilities of DPMO Project Managers and cross-functional teams. This includes: timelines, resource (budget and FTE) capacity management and project risk management

  • Optimize methods for implementing project management capabilities within DPMO functions, as appropriate

  • Provide coaching and mentoring to Project Managers and Project Leaders, as appropriate

  • Assure that project dashboards are developed and up to date for senior management reporting

  • Evolve templates for various types of projects including NPL stage gates and detailed steps for DPMO

  • Develop and implement project processes to provide a global view of projects and also develop KPIs, prioritization and resource planning metrics

Management

  • Hire, coach, and manage a large team of project managers, who manage the projects in the Clinique book of work

  • Ensure that the projects are managed according to the processes developed and best practices identified, including timelines, agenda, minutes, budget management, resources management, and best practices

  • On an ongoing basis, work with project managers to identify new best practices and ensure that they are implemented across the organization, with the help of the DPMO.

  • Ensure the reporting of projects to Brand President and Regional Brand Managers

  • Provide the prioritization tools and processes to ensure the optimal prioritization of projects for Clinique

Qualifications

REQUIREMENTS

  • Masters Degree in Project Management and/or MBA.

  • Minimum of 12 years’ experience as a creative project management lead.

  • Experience with in-house and agency environments that have a heavy production environment (product, digital, production, broadcast, post) is a plus

  • Superior organizational and communication skills

  • Experience in planning systems (ex. MS project, SmartSheet and Workfront)

  • Demonstrated ability to work well with others within and across functions/teams

  • Effectively utilizes information technology systems and project management tools to introduce efficiencies

  • Capable of effectively managing and facilitating meetings within a multicultural environment

  • Ability to hold oneself and others accountable for commitments in a productive, assertive and positive manner

  • Ability to influence outcomes without authority

  • Mature and effective conflict resolution skills and cross-functional coaching skills

  • Ability to critically assess the needs and develop processes and tools that add value

  • Well versed in short-term and long-range planning and execution of a portfolio of projects

  • PMI Certification, with knowledge of Agile and Waterfall methodologies

  • Presentation, facilitation, negotiation, and pitching skills

  • Experience working with clients to develop and negotiate contracts, project scopes and budgets

  • Has experience in working closely with finance, creative and marketing services

  • Experience in recruiting, hiring, managing, developing, and motivating
